Timesheet Procedures

Timesheets serve as your time clock. When you arrive, you should record the time in the appropriate slot for that day. The same should be done when you leave. The following are rules for a properly filled-out timesheet; however, check with your supervisor for the specific procedures within your department. This will be extremely helpful to those who record and process the timesheets. It also will assure that you will be paid accurately and on time.

1) Fill out the timesheet in pen. Timesheets filled out in pencil will be returned, which means you may not get paid for those hours until the next pay period.

2) Use the decimal place conversion chart to convert minutes into decimals. ( Example: 4 hours and 45 minutes = 4.8 hours.)

3) Do not fill in the total hours column. This is the bold column on the right of your timesheet. This will be filled out by persons recording your time sheet.

4) Make sure all handwriting is legible.

5) If you work two different times in one day, make sure these are clearly marked in the appropriate box so that they will be correctly interpreted.

6) You must initial any corrections you make on your timesheet. If you need to make several corrections, extra timesheets are available.

7) Before turning in your timesheet, check your time conversions carefully.

8) Make sure that you sign your time sheet.

9) Make sure your timesheet is completed every other Monday by noon. For offices open evening hours and weekends, timecards may be due by Saturday. Check with your department as to the preference of that department. (Different deadlines may be necessary around holidays.) Getting timesheets turned in to supervisors on time is the responsibility of the student employee.

10) You will be paid only for time worked. If you arrive late or leave early, exact times in and out must be recorded on your timesheet. Do not fill it out in advance, but daily, as worked.
